REFUND AND CANCELLATION POLICY

Effective Date: May 2026

This Refund and Cancellation Policy (“Policy”) constitutes a legally binding agreement between the client (“Licensee,” “Customer,” “You”) and Sopra Travel Technology (“Company,” “We,” “Us,” “Licensor”). This Policy governs all financial transactions, setup fees, recurring software subscriptions, and custom engineering services associated with our cloud-hosted Software-as-a-Service (SaaS) travel platforms, enterprise flight booking engines, and API middleware deployment setups.

1. PLATFORM DEMONSTRATION AND PRE-PURCHASE VALIDATION

1.1 Sandbox and On-Demand Evaluation Protocols

Prior to contract execution or financial remittance, the Company provides comprehensive, live technical demonstrations, sandbox environments, and on-demand functional walkthroughs of our travel portal software. These evaluations are designed to allow potential clients to thoroughly analyze platform capabilities, multi-currency modules, and geographic regional compliance (covering India, the UK, and Middle Eastern jurisdictions) to verify that the software architecture aligns with their specific operational workflows.

1.2 Explicit Acknowledgment of Functional Suitability

By provisioning a live portal instance, paying an initial deployment invoice, or executing a service level agreement (SLA), the Customer explicitly acknowledges that they have fully evaluated the product and deemed it fit for purpose. Because our software architectures utilize cloud-native licensing setups, distinct virtual environment deployments, and custom source-code instances that cannot be physically recaptured, all post-activation transactions are considered final, fully earned, and non-refundable.

2. CANCELLATION FRAMEWORKS AND TERMINATION PROTOCOLS

2.1 SaaS Recurring Subscription Terminations

For all software packages billed on a recurring monthly or annual Software-as-a-Service (SaaS) model, cancellation requests must be submitted formally through our designated billing dashboard or via written electronic mail to your assigned Account Manager. While subscription renewals may be deactivated at any time to prevent future billing cycles, no partial or prorated refunds will be issued for any unused days remaining within the active, pre-paid billing period.

2.2 Custom Engineering and Project Architecture Halts

For enterprise flight booking portals involving custom software adjustments, localized UI theme development, or bespoke engineering workflows, cancellation requests are only valid within twenty-four (24) hours of initial order placement. Once core infrastructure configuration, cloud instance provisioning, or API pipeline construction has commenced, the initial onboarding deposit is strictly non-refundable and non-transferable to other projects.

3. REFUND ELIGIBILITY AND LIABILITY EXCLUSIONS

3.1 Restricted Resolution Windows

Certain off-the-shelf, standard SaaS subscription tiers may feature a restricted seven (7) to fourteen (14) day operational warranty window from the date of initial deployment, solely applicable if the core platform experiences critical technical failures that prevent its basic operation. Refund eligibility under this narrow clause is strictly contingent upon our core engineering team being unable to remediate the reported technical limitation within a commercially reasonable timeframe.

3.2 Comprehensive Third-Party Financial Exclusions

Under no circumstances shall the Company be held liable for, nor issue refunds against, capital expenditures paid to third-party providers during your portal setup. This absolute exclusion applies to all external global distribution system (GDS) credentials, Travelport or NDC supplier integration deposits, local or international payment gateway setup fees, dedicated server hosting infrastructure fees, SMS API routing bundles, and external domain maintenance or renewal costs.

4. CROSS-BORDER REMITTANCE AND FINANCIAL COMPLIANCE

4.1 International Clearing Channels and Processing Timelines

All contractually approved refunds will be processed strictly back through the original payment instrument, corporate credit card, or cross-border SWIFT/IBAN bank wire transfer utilized during initial procurement. Due to international clearing bank procedures and currency settlement protocols spanning India, the United Kingdom, and the Middle East, monetary reversals may require between ten (10) to forty-five (45) business days to successfully reflect in the Customer's banking ledger.

4.2 Multi-Jurisdictional Regulatory Alignment

As an international travel technology enterprise operating outward from India, our financial policies comply with the export and cross-border remittance mandates of the Reserve Bank of India (RBI), alongside relevant digital commerce standards in the United Kingdom and the Middle East. The Company reserves the unilateral right to amend, update, or restructure these clauses to maintain compliance with changing international SaaS distribution laws, with such updates becoming effective immediately upon publication to our digital domains.
